La réponse courte

Most terminals and gateways group the day's approved card sales into a batch, and the sales are sent for payment when the batch closes. Until then, the money is not on its way to your bank. Many devices close automatically each day, but some are set to manual or have a close time that does not suit your hours. Confirm the setting on every device, close once a day per device at a time that fits your trading day, and check the batch total against your sales before the next morning.

What a batch is

Each approved card sale is authorized when the customer pays, but the money does not move at that moment. The terminal or gateway stores the approved sales in a batch. Visa's Core Rules (18 April 2026) define a deposit as the submission of a transaction by a merchant to an acquirer, resulting in a credit or debit to the merchant's account. On most equipment, closing the batch is how that submission happens. Visa's rules then require the acquirer to pay or credit the merchant promptly after deposit. In short: no batch close, no deposit.

Why an open batch matters

An open batch is one of the most common reasons a deposit looks late. If a device is set to manual close and nobody closes it, sales can sit for days. Timing can also affect cost. Visa's rules set maximum processing timeframes from the date of authorization, and they say a transaction must meet the qualification requirements in the Visa rules and the applicable interchange qualification guide to receive a particular interchange rate. Ask your provider, in writing, how soon your batches must close for your sales to keep the rate you expect. Late settlement is one way a sale can be downgraded to a higher rate. A third reason is bookkeeping: when several days of sales arrive as one deposit, matching deposits to sales takes longer.

Check how your devices are set

For every terminal, POS station and online gateway, find out three things. Is it set to close automatically, or does someone have to close it? If automatic, at what time, and in which time zone? Does each device close its own batch, or do they share one? Your POS settings or your provider's support line can answer all three. Write the answers down, because staff changes and equipment swaps are how settings get lost.

Pick the right close time

The best close time is after your last sale of the day and before your provider's funding cut-off, so the batch makes the next funding cycle. A restaurant that closes at midnight and a shop that closes at six need different settings. If you trade past midnight, make sure late sales land in the batch you expect. Ask your provider for the funding cut-off time and its time zone; our next-day funding guide explains how the cut-off works.

A simple end-of-day routine

1. Finish anything that must happen before the close. If your staff add tips to card sales after authorization, ask your POS provider whether tips must be adjusted before the batch closes, and make that the first step. 2. Close the batch, or confirm the automatic close ran. 3. Print or open the batch report. 4. Compare the batch total and transaction count with your POS sales report for the same day. 5. Note any difference and look into it the same day, while staff still remember the sale. The next morning, check that the deposit matches the batch, less any fees your agreement allows the provider to deduct.

Watch the batch count on your statement

Some providers charge a fee per batch. If yours does, extra closes cost money: a manual close followed by an automatic one, or several devices each closing separately, can multiply the charge. Count the batch lines on one statement and compare them with the days you traded and the number of devices. Our batch fee guide explains how to read those lines and what to ask your provider.

What changes for multi-location and enterprise operations

With several locations, batch settings drift. One site replaces a terminal, another changes its trading hours, and a third has a device nobody remembers is still active. Keep one list of every device and gateway by location, with its merchant ID, close method and close time. Set the same close standard for every site, adjusted for local hours and time zones. Review the list after any equipment change or new opening. Finance teams reconciling many locations benefit most from one close per device per day, because each deposit then maps to a known set of batches.
