La réponse courte

Most processing fee changes are not announced by phone. They usually show up as a new line on your statement, a changed amount on an existing line, or a short notice printed on the statement or sent with it. The fix is a simple monthly habit: compare this statement with last month's and the same month last year, mark any new or higher line, read any notices, and ask your provider in writing what each change is for and whether it can be removed.

Why fee changes are easy to miss

Your merchant agreement usually has a change-of-terms clause. It sets how your provider must tell you about new or higher fees and how much notice you get. Depending on the agreement, that notice can be a message printed on the statement, an insert, an email or a post in an online portal. None of those ring your phone. If nobody in the business reads the statement each month, a change can run for months before anyone sees it. Reading the clause once tells you where to look for notices and how long you have to respond.

Where new fees usually appear

New charges tend to show up in a few places. The fee detail section can gain a line that was not there before. An existing line can keep its name but change its amount or rate. A yearly charge can appear in one month only, which makes it easy to miss if you compare only with last month. And some fees are taken as a separate debit from your bank account rather than shown in the statement total. Watch for words such as annual, system, technology, upgrade, compliance or regulatory in a line name. A name like that does not make a fee wrong, but it should tell you what it pays for, and if it does not, ask.

A ten-minute monthly check

Put this month's statement next to last month's and the same month last year. Write down total card sales and total fees for each, and divide fees by sales to get your effective rate. Then compare the fee lines one by one and mark three kinds: lines that are new, lines whose amount or rate went up, and lines you cannot match to your fee schedule. Finally, read every message box and notice on the statement. If the effective rate went up while your sales mix stayed about the same, the marked lines usually explain why.

How to question a new fee

Ask in writing, by email or a support ticket, so you have a record. List each marked line by name, amount and statement month, and ask three questions: what the fee pays for, where it appears in your agreement or in a change notice, and whether it can be removed or reduced. Ask for a copy of any notice they say was sent. Keep the reply with the statement. If the answer does not match your agreement, or no notice was given in the way your agreement requires, you have a specific point to raise, or a reason to compare other offers. This is general information, not legal advice.

What changes for multi-location and enterprise operations

With several merchant IDs, a new fee can appear on every account at once, or on one account only. Give one team, often finance, the job of reviewing every statement each month. Keep a shared spreadsheet with one row per fee line per account, so a new line stands out across the whole business. Watch for fees charged per merchant ID or per device, because they grow every time you add a location or terminal. Ask your provider for a single current fee schedule that covers all accounts, and make sure notices go to a shared mailbox that someone reads, not to a manager who has since left.
