The short answer
To lower credit card processing fees, work out your effective rate from your statement, find out how you are priced, remove account fees you do not need, take fewer keyed-in payments, and get written quotes on your real volume. CELER Merchants, an independent merchant services agent, does this statement review for free and names every fee, usually within 4 hours.
Step 1: Work out your effective rate
Add every processing fee on one month's statement, including monthly and account fees, and divide by your total card sales for that month. The result is your effective rate. It is the only number that lets you compare one provider with another, because it includes everything you paid. Do it for three months so one unusual month does not mislead you.
Step 2: Find out how you are priced
Statements usually follow one of three models. Flat rate charges one percentage for most cards. Tiered pricing sorts transactions into buckets such as qualified and non-qualified. Interchange-plus passes through the card network's cost and adds a stated markup. Knowing your model tells you where to look: on tiered pricing, check how many sales fall into the higher tiers; on interchange-plus, check the markup.
Step 3: Question every account fee
Look past the per-transaction rate to the monthly lines: statement fees, PCI fees, annual fees, monthly minimums, gateway fees and equipment leases. Match each one to a service in your agreement. Ask in writing for any fee you cannot match to be explained or removed.
Step 4: Take fewer keyed-in payments
Payments typed in by hand usually cost more than cards tapped or inserted in person. Square's US pricing page, checked on 13 October 2026, shows the gap on one price list: 2.6% + 15¢ for in-person payments on its free plan against 3.5% + 15¢ for manually entered or card-on-file payments. Where you can, send a payment link or take the card in person instead of typing the number.
Step 5: Batch every day and send complete data
Close your terminal batch daily so transactions settle on time, and if you sell to other businesses, ask whether your system can send the extra invoice data some business cards qualify for. Ask your provider which of these applies to your account.
Step 6: Look at passing on the cost, only where it is allowed
Some businesses offer a cash discount or add a credit card surcharge. Both have rules. For example, Visa's U.S. merchant surcharge Q&A limits a surcharge to credit cards, at no more than your merchant discount rate or 3%, whichever is lower, and requires 30 days' notice to your acquirer. State and provincial law also applies, and surcharging consumers is not allowed in Quebec. Check with your processor or a lawyer before you start.
Step 7: Get written quotes and check the exit terms
Ask at least two providers to quote on the same three statements, in writing, with every monthly fee listed. Then read the exit terms of your current agreement before you sign anything new.
| Item | Why it matters |
|---|---|
| Pricing model and markup | Lets you compare like with like |
| Every monthly and annual fee | Account fees can cancel out a lower rate |
| Equipment cost or lease term | Leases can run longer than the processing agreement |
| Contract term and exit fee | Tells you what leaving will cost later |
| Estimated monthly total on your statements | The number to compare across quotes |
How CELER Merchants can help
CELER Merchants is an independent merchant services agent, not a bank or a payment processor. Send one recent statement and we name every fee and show your effective rate, usually within 4 hours. We then ask the processors we work with to quote on your volume. If your current deal is already competitive, we say so.
Key takeaways
- Effective rate = all fees divided by card sales
- Know your pricing model before you negotiate
- Monthly and account fees are often easier to remove than the rate
- Get every quote in writing on your own statements, and read the exit terms
