The short answer
The best POS system for a small business is the one whose total monthly cost (software, processing, hardware and add-ons) and feature set match how you actually sell. Square, Clover, Toast, Lightspeed, Shopify POS and Helcim each fit different business types, and several tie you to their own payment processing. Compare published pricing, lock-in and contract terms side by side before signing anything.
How we compared these POS systems
Every price in this guide comes from the vendor's own public pricing page, checked 2026-09-14. Where a vendor does not publish a figure, we say not publicly listed rather than estimate. Prices change often and many vendors run promotions, so confirm the numbers on the vendor's page before you buy. CELER Merchants is an independent merchant services agent, not a POS vendor or processor. We set up POS and payments with several providers, which is why this guide compares on published facts rather than naming a single winner. The systems covered are Square, Clover, Toast, Lightspeed, Shopify POS and Helcim, which together cover most small business situations: restaurants, retail shops, appointment-based services, multi-location operators and mobile or pop-up sellers.
POS pricing comparison table
The table below shows the entry point for each system in the United States unless noted. Card-present means tap, chip or swipe at the counter. Online means card-not-present payments through an online store, invoice or payment link. Lower tiers usually carry higher processing rates, and higher tiers trade a monthly fee for lower rates, so read across each row rather than comparing one column. Shopify's pricing pages displayed Canadian dollar figures when we checked, so those are shown in CAD and US pricing should be confirmed directly on Shopify's US site.
| System | Software plan price | Card-present rate | Online rate | Hardware from | Processing lock-in | Source date |

Total cost of ownership: the four parts of the bill
The monthly software fee is the smallest number most merchants see and rarely the biggest cost. A realistic comparison adds four parts. First, software: the plan fee, often charged per location, plus per-device fees for extras. Square, for example, lists its KDS app at $30 or $20 per device per month and its Kiosk app at $50 or $30 per device per month depending on plan. Second, processing: the percentage and per-transaction fee on every card sale, which grows with your volume and usually outweighs software at any meaningful sales level. Third, hardware: readers, terminals, stands, printers, cash drawers and kitchen displays, bought outright, financed or leased. Fourth, add-ons: payroll, loyalty, online ordering, marketing, inventory tools and extra registers. To compare fairly, take your average monthly card sales, split between in-person and online, and apply each vendor's published rate. Add the plan fee for each location, the per-device add-ons you will really use, and the hardware cost spread over the years you expect to keep it. A plan that costs more per month but carries a lower rate can be cheaper overall once volume rises, which is the trade Square and Shopify make explicit between their tiers.
Processing lock-in and hardware portability
The most important question is often not which POS has better features but whether it lets you choose who processes your payments. Most all-in-one systems require their own processing. Square, Toast, Clover and Lightspeed build payments into the POS, and Helcim pairs its POS with its own processing. Shopify is the notable exception on its pricing page: it allows third-party payment providers but charges an additional fee per transaction for doing so, from 2% on Basic down to 0.6% on Advanced in the Canadian pricing we checked. Lock-in matters for two reasons. It removes your ability to re-shop processing later without replacing the POS, and it affects hardware portability. Terminals built for one platform generally cannot be moved to another provider, so switching can mean buying hardware again. Before you buy, ask the vendor in writing whether the hardware will work with any other processor and what happens to it if you leave. A processor-agnostic setup keeps more options open, while an integrated setup is usually simpler to run day to day. Neither is wrong; the point is to choose knowingly.
Contracts, early termination and equipment leasing
Contract terms vary widely, and they sit in the fine print rather than the headline price. Square's pricing page states no locked-in contracts and cancel or switch anytime. Helcim lists no cancellation fee. Clover's hardware promotion on Clover.com states it requires a 3-year contract, and its FAQ addresses termination fees, so read the agreement for your specific offer. Shopify Plus lists a 3-year term. Also note that Clover systems are sold by many banks and resellers as well as directly, and Clover states that the prices shown on its site are only available on Clover.com, so a Clover quote from another seller can differ. Equipment leasing deserves particular care. A non-cancellable lease can run for years and cost far more than buying the same hardware outright, and it may continue even if you close the merchant account. Before signing, get answers to these questions: how long is the term, is there an early termination fee and how is it calculated, is the hardware purchased, financed or leased, and who owns it at the end.
Offline mode: what happens when the internet drops
Every system here markets some form of offline capability, but the details differ. Square lists offline payments on every plan, with a condition in its terms: offline payments are processed when the device reconnects and are declined if it does not reconnect within 24 hours of the first offline payment, and the seller is responsible for any expired, declined or disputed offline payments. Toast describes an offline mode that lets you keep placing orders, printing tickets and taking card payments until the connection returns. Lightspeed describes offline mode capability during internet outages. For any system, ask how long offline mode lasts, which devices support it, whether card payments are stored and forwarded, and who carries the risk if a stored payment later declines. For high-volume counters, a cellular backup connection is worth pricing in.
Integrations and add-ons
A POS rarely works alone. List the tools you already run, such as accounting, payroll, scheduling, ecommerce, delivery apps and loyalty, and check each vendor's app marketplace for direct integrations before comparing prices. Integrated add-ons from the POS vendor are convenient but add monthly cost; third-party apps may be cheaper or better but can carry their own subscriptions. Toast bundles payroll into a published offer starting at $69 per month plus $9 per employee per month. Square lists payroll from $35 per month plus $6 per person paid. Shopify's strength is a single inventory and product catalogue across in-person and online sales. Lightspeed's retail plans are organised around inventory depth as you move up tiers. Pay for what you will use in the first few months, not what you might use years from now.
US and Canada availability
If you operate in Canada, or in both countries, confirm availability first. Square publishes separate Canadian pricing, with a $0 plan, Plus from $35 per month, 2.5% for in-person credit card payments, 2.8% + 30¢ for card-not-present payments and 0.75% + 7¢ for debit card present, all in CAD. Shopify displayed Canadian dollar pricing when we checked. Lightspeed lists Canada among the countries where Lightspeed Payments operates. Helcim states it operates in both Canada and the United States and lists Canadian debit at 9¢, or 12¢ for tap. Toast's site offers a Canada (English) regional version. We could not confirm Clover's Canadian availability or pricing from Clover's own website at the time of checking, so ask any Clover seller in Canada to confirm who provides the service and on what terms.
Best fit by business type
Instead of a single ranking, match the system to how you trade. The shortlist below is based on each vendor's published features and pricing structure, not on a test of every system. Most businesses should shortlist two or three options and request written quotes using their own sales volume.
| Business type | What matters | Systems to shortlist |
|---|---|---|
| Restaurant (full service or quick service) | Kitchen display, table and order management, online ordering, offline mode, payroll and tips | Toast, Square (restaurant features, per-device KDS pricing), Clover |
| Retail shop | Inventory depth, barcode and purchase orders, online store on the same catalogue | Lightspeed Retail, Shopify POS, Square |
| Service or appointment-based business | Booking, invoicing, card on file, low or no monthly fee | Square, Helcim, Clover (service business plans) |
| Multi-location operator | Per-location fees, central reporting, staff permissions, inventory transfers | Lightspeed, Shopify POS (POS Pro per location), Toast, Square Premium |
| Mobile, market or pop-up seller | Low-cost reader or phone tap to pay, no monthly fee, offline payments | Square, Shopify POS (Tap to Pay on iPhone), Helcim |
| Higher-volume merchant focused on processing cost | Transparent interchange-plus pricing or negotiated rates, ability to switch | Helcim, Square Pro (custom pricing over $250,000 per year), processor-agnostic setups |
How to choose: a short checklist
Start with your peak-hour transaction count and how many staff need separate logins. Decide whether you sell online from the same inventory. List the accounting, payroll and booking software you already use. Estimate monthly card volume split between in-person, online and keyed payments, then calculate processing cost on each shortlisted system using its published rate. Ask each vendor whether processing is required, whether hardware works with any other processor, what the contract term and early termination fee are, and whether any equipment is leased. Get every quote in writing, including all per-location and per-device fees. If you would like an independent comparison, CELER Merchants can set up quotes from multiple providers so you can see the numbers side by side.
Key takeaways
- There is no best POS for everyone; shortlist by business type and compare two or three written quotes
- Total cost is software plus processing plus hardware plus add-ons, and processing grows with every sale
- Most all-in-one POS systems require their own processing, which limits future re-shopping and hardware portability
- Read contract length, early termination fees and any equipment lease before signing
- Confirm offline mode limits and Canadian availability directly with the vendor
